What was broken.

Every semester, the department exported gradebook data from the LMS and saved it in spreadsheets. And every semester, that data sat there untouched. Nobody had the time, tools, or statistical background to dig through thousands of rows looking for patterns. When program leadership needed to understand why pass rates dropped in a particular course or section, the answer was usually a shrug and a guess, not a correlation matrix.

Department meetings were the worst of it. Faculty would gather to discuss student outcomes armed with nothing but anecdotal experience. "I feel like students who bomb the midterm never recover." "I think the lab assignments are too hard." These were reasonable intuitions, but nobody could confirm or refute them with data. There was no way to identify which specific assignments predicted student failure, which sections outperformed others, or whether a grading pattern signaled a structural problem in the curriculum.

When leadership did want a formal analysis for accreditation reviews or board presentations, someone had to spend hours manually building charts in Excel and pasting them into PowerPoint slides. The process was tedious, error-prone, and dreaded by everyone who got assigned the task. The institution needed a tool that could take raw grade data, run real statistical analysis, and produce presentation-ready reports without requiring a data science degree or a weekend of copy-paste work.

How we solved it.

Built the Gradebook Import Pipeline

We built a Python ingestion layer using openpyxl that reads Excel gradebook exports regardless of column layout or naming conventions. The system detects assignment columns, student identifiers, and final grades automatically, then normalizes everything into a clean, analysis-ready structure. No manual cleanup or reformatting required.

Implemented Statistical Analysis

We built a correlation engine that calculates relationships between every assignment and the final grade, identifies pass/fail patterns across score thresholds, and runs comparative statistics across sections. The result: raw grade data becomes statistically validated insights about which assignments actually predict student success or failure.

Designed the Risk Factor Engine

We created an analysis layer that identifies which assignments and score thresholds predict whether a student will pass or fail. The engine flags high-impact assignments, the ones where early intervention would matter most, and generates specific recommendations for curriculum adjustments and support changes.

Automated PowerPoint Generation

We used python-pptx to auto-generate complete presentation decks from the analysis results. Each report includes formatted slides with correlation charts, pass/fail comparison tables, risk factor summaries, and trend visualizations. Ready to present at department meetings or accreditation reviews without touching PowerPoint manually.

What we learned.

The Most Predictive Assignment Is Rarely the Final Exam

Faculty assumed the final exam or major capstone project would be the strongest predictor of student outcomes. The correlation analysis consistently showed otherwise. Early-semester formative assessments, especially the first graded assignment and the first quiz, had the highest predictive power. Students who struggled early rarely recovered. That finding shifted the department's intervention strategy from end-of-term remediation to first-three-weeks monitoring.

Automated Reports Get Read; Manual Reports Get Filed

Before the engine existed, grade analysis reports were only created when someone was forced to, usually for accreditation deadlines or annual reviews. Because they took hours to build, they were produced reluctantly and rarely. Once the system could generate polished presentations from a single upload, faculty started running analyses voluntarily, mid-semester, out of genuine curiosity. Reducing friction didn't just save time. It changed the culture around data use.

Cross-Section Comparison Reveals What One Section Can't

Looking at a single section's grade data tells you what happened. Comparing across sections of the same course tells you why. When one section's pass rate was 20 points higher than another, the engine's comparative analysis pointed to specific differences: different weighting, different assessment types, different pacing. These comparisons gave program leadership concrete, data-backed conversations to have about instructional consistency.
